Administrative Assistant – Intermediate Level

The Position
 
The Jerry Forbes Centre for Community Spirit is looking for a skilled and professional office administrator to join our capital campaign team. 
 
Duties and Responsibilities
 
Administration
  • Provides administrative support to the Project Director and Manager of Marketing and Fund Development as required
 
General 
  • Coordinate scheduling and planning of various board and committee meetings. This includes scheduling meetings, preparing agendas, minutes and information packages.
  • Records minutes of meetings when requested by the Director and Manager of Marketing and   Fund Development, distributes and files materials.
  • Appointment and meeting scheduling
  • Handles communication by telephone, fax and email
  • Is responsible for photocopying, filing and archiving files.
  • Participates in maintaining a binder of current administrative procedures
  • Updates donor database, client contacts and compiles weekly volunteer and other reports
  • Assists in the production of Thank you letters and tax receipts
  • Prepare reports, project updates, presentations and public relation materials in collaboration with other team members
  • Assist in planning fundraising events and special event activities
  • Provide support and assistance to volunteers involved in various marketing and fundraising activities
 
Accounting 
  • Accounts payable complete to checks 
  • Creates Bank deposits and takes deposit to the bank
  • Creates and distributes monthly financial reports
 
Education & Experience 
  • Skilled use of MS office products including database systems, spreadsheets, word processing and Power Point
  • Knowledge of other software products such as financial systems (Simply Accounting) and donor management software (Income Manager)
  • Minimum of Grade 12 with business/admin training 
  • Three to four years of experience preferred. 
  • Ability to work flex time as required
  • Clear criminal record check
  • Requires personal vehicle

Hours of Work
Full time 
 
Salary
$ 32,000 - $38,000 with benefits
Based upon education and experience

About the Jerry Forbes Centre for Community Spirit
The Forbes Centre for Community Spirit will be a multi-tenant business center for up to 20 non-profits. Born out of 630 CHED Santas Anonymous’ 10 year search for affordable warehouse space it was expanded to assist numerous non-profits in need of a home. A capital campaign has been undertaken to construct this innovative facility in Edmonton’s capital region.  The Jerry Forbes Centre for Community Spirit is a 70,000 square foot, non-profit centre that offers quality office space and a volunteer workshop and warehouse.   Opening in 2013/14 the Jerry Forbes Centre for Community Spirit will be a small, working village of charitable organizations and a legacy of caring in our community.
